Treatment Plan Refund & Cancellation Policy
This policy applies to all 10-week treatment rounds and maintenance plans.
1. Ending a Treatment Plan Early (Refunds)
This applies to all 10-week treatment rounds (Acupuncture-Only, Integrated Acupuncture + Herbs, Herbal-Only) and maintenance plans.
If you choose to stop a treatment plan before completing all visits, any refund is based on standard a la carte values for what you’ve already received:
$150 per completed in-home acupuncture visit
$80 per completed herbal consult (online or in-person)
$1 per gram of herbal granules dispensed
$250 per Raw Herbal Tea Add-On (per 10-week round), once ordered or delivered
$75 non-refundable equipment value if a chair or table was provided as part of your plan
Refund formula (general):
Refund = Total amount paid for that plan
− (acupuncture visits used × $150)
− (herbal consults completed × $80)
− (grams of herbs dispensed × $1)
− (Raw Herbal Tea Add-On, if applicable)
− (non-refundable equipment value of $75, if a chair/table was provided)
Separate equipment upgrade fees (for example, the extra $75 to upgrade from a chair to a table) are also non-refundable and are not included in the “total amount paid for that plan” in the formula above.
If the value of what you’ve already received is greater than or equal to what you paid for the plan, there is no refund.
2. Non-Refundable Equipment (Chair & Table)
Some acupuncture plans include or offer equipment for home use. Once delivered, these items are yours to keep and a portion of your plan payment is treated as a non-refundable equipment value.
Equipment Policy
Zero gravity chair: valued at $75. Once delivered, it is yours to keep and the $75 is non-refundable if you cancel your treatment plan early.
Massage table upgrade: valued at $150. Once delivered, it is yours to keep and the $150 is non-refundable (this includes the upgrade fee) if you cancel your treatment plan early.
3. Herbal Products & Raw Herbal Tea
Herbal products already filled and delivered are non-refundable.
Granule formulas are valued at $1 per gram for refund calculations (even if a certain amount was “included” in the package).
The Raw Herbal Tea Add-On ($250 per 10-week round) is non-refundable once herbs have been ordered or delivered.
When a plan is canceled early, the value of all herbs supplied (granules and any raw tea add-on) is counted as part of the “used” portion and deducted before calculating any refund.
4. Plan Timeframe & Expiration (Use-By Window)
Treatment plans are designed as structured treatment rounds, not open-ended punch cards.
A 10-week treatment plan is intended to be used on a regular, mostly weekly basis.
All sessions in a 10-week round must be scheduled and used within 4 months of the first visit in that round (to allow for normal life interruptions).
Sessions not used within this period are forfeited and non-refundable, unless we have agreed in writing (text/email is fine) to an extension due to special circumstances (e.g., illness, travel, family emergency).
A 18-week maintenance treatment plan is intended to be used on a regular, mostly bi-weekly basis.
All sessions in a 18-week round must be scheduled and used within 6 months of the first visit in that round (to allow for normal life interruptions).
Sessions not used within this period are forfeited and non-refundable, unless we have agreed in writing (text/email is fine) to an extension due to special circumstances (e.g., illness, travel, family emergency).
5. Appointment Cancellation & No-Show Policy
To keep your plan effective and respect everyone’s time:
Please give at least 24 hours’ notice if you need to cancel or reschedule an appointment.
Cancellations with less than 24 hours’ notice and no-shows will be charged as a used visit in your plan and cannot be rescheduled within that plan without additional payment.
Repeated last-minute cancellations or no-shows may result in ending the treatment plan or declining future appointments.
True emergencies do happen; in rare cases, exceptions may be made at my discretion.
